Question: if the university representative’s certification date is in the middle of or after all date of sessions, is this acceptable?

Answer: No, the claim must be returned to the practice. The practice can provide university correspondence which confirms the sessions were arranged prior to the first teaching session.

Question: if a practice submits an old version of the teaching claim is this acceptable?

Answer: Previous versions of the IP006 are acceptable if the version was acceptable at the date the university certified the form.

Question: can the agency process a claim if the university is not listed in PIP online?

Answer: Escalate to LPS for assessment.

The university must be registered as an eligible university. Program Management (Policy team) will review the university eligibility and refer the request to the Department of Health and Aged Care.

Sessions can usually be processed once the university has been added to the list of eligible universities.

Claims for students at unregistered universities must be pended in PaNDA until confirmation of university eligibility has been received.

Question: can a practice claim sessions prior to 1 January 2015?

Answer: No, claims prior to 1 January 2015 are not eligible for payment.

Question: can a practice claim sessions for an intern or overseas student?

Answer: No, teaching sessions for interns or overseas students do not meet the eligibility criteria.

Question: can a practice claim for a student studying a course at an Australian university that is preparing them for entry into the Australian medical profession, but the session is part of the student’s non-core curriculum, such as an elective GP placement?

Answer: Escalate to the LPS for assessment:

  • Program Management (policy team) will assess these on a case by cases basis
  • The practice must submit all thedetails and any supporting documents

Question: can a practice claim for a student undertaking their PhD or course OTHER than an undergraduate or graduate course?

Answer: No, a student undertaking a PhD course attending a teaching session is not eligible to claim a teaching payment.

Question: can a practice claim more than 2 three-hour sessions, per GP daily?

Answer: No, a practice can only claim a maximum of 2 sessions, per GP.

If a practice submits a claim with more than 2 sessions signed by a GP for one date:

  • process the 2 sessions, and
  • send a letter to the practice advising only 2 claims can be processed

Question: can a practice claim more than 2 three-hour sessions per student daily?

Answer: Yes, the number of sessions the practice can claim per student is not limited if no more than 2 were supervised by the same GP.

Can a practice claim sessions supervised by a health professional who is not a GP?

Answer: No, only sessions supervised by a practice GP are eligible.

If a practice submits a claim with sessions supervised by other health professionals:

  • process any eligible sessions
  • send a letter to the practice advising only GP supervised sessions are eligible

Can a practice claim sessions provided prior to their PIP approval date?

Answer: No, only sessions provided after the date of approval are eligible.

If a practice submits a claim with sessions dated prior to their approval date:

  • process any sessions dated after the practice approval date
  • send a letter to the practice advising sessions before their approval for the PIP are not eligible

Can a practice claim sessions that are less than 3 hours?

Answer: No, sessions must be a minimum of 3 hours.

If a practice submits a claim with information indicating sessions of less than 3 hours:

  • process any eligible sessions
  • send a letter to the practice advising sessions must be a minimum of 3 hours

Can the practice submit a university session log instead of completing the session details on the claim form?

Answer: Yes, if the:

  • student details on the session log match the student details on the claim form (if completed)
  • sessions have valid dates
  • supervising GP has signed the session log either at each session date or, has signed and dated a declaration confirming the provision of the sessions. The declaration date must be on or after the last session date

The practice has submitted a university session log. The student has not signed the declaration on the IP006, but they have signed the session log. Is this acceptable?

Answer: Yes, if the student's

  • signature is dated, and
  • declaration date is on or after the last session date

The practice has resubmitted a rejected claim with an amended university certification date. Is this acceptable?

Answer: No, the agency can not accept claims with an amended university certification date. The claim cannot be processed until the practice provides correspondence with the university confirming the hosting arrangements. Correspondence can be a letter or email and must:

  • be dated before the first teaching session occurred
  • include the university name and the full name of a university representative
  • include the student's full name and student identification number

Note: universities do not always include the student ID number in their correspondence with the practice. The student ID number is not mandatory if the full name has been provided and the student details can be clearly matched to the claim form.
