This page contains the steps in the process to access archived AIC data using the Archiving and Culling Engine (ACE) application.

Accessing archived AIC data using the ACE application

Step

Access and log on to the Archiving and Culling Engine (ACE) application: Enter search criteria + Read more [1]

Access and log on to the Archiving and Culling Engine (ACE) application.

To search for the below, select the appropriate option.

Letters + Read more [2]

Select Search from the left-hand menu.

Use these fields:

  • Organisation: select Centrelink
  • Reference Type: select CRN (Customer Reference Number)
  • Reference Number: key the CRN
  • Media Type: select PDF
  • Search Key 1: select ISIS
  • Search Key 2: select LET

Select the Submit button or press [Enter], go to Step 2.

DOC's + Read more [3]

Select ODR Search from the left-hand menu.

Use these fields:

  • Customer Reference Number: key the CRN

Select the Submit button or press [Enter], go to Step 2.

Activities + Read more [4]

Select Activity Search from the left-hand menu.

Use these fields:

  • CRN: key the CRN
  • Activity ID: if applicable enter the known AMR number

Select the Submit button or press [Enter], go to Step 2.

The Search Results screen + Read more [5]

A successful search will produce a list of the found packet of archive information.

Note: AIC will be displayed in the Key 3 column under Search Criteria if the customer has an Assistance for Isolated Children (AIC) Scheme packet.

How to retrieve the archived packet data + Read more [6]

Select the:

  • check box next to the desired record
  • Get selected button at the top or bottom of the screen

If the Status is:

Offline archived packet data + Read more [7]

If the Status is Offline it will change to Requested and this message will display, 'Please go to the Request List screen to monitor the status of your request'.

To go to the Request List screens:

  • select the relevant menu item on the left-hand side of the screen:
    • Search Request List
    • ODR Request List
    • Activity Request List
  • the most recent request will be shown at the top of the screen
  • the entry in the column 'No. Online' advises when the data is available for viewing (the process of bringing archive data from offline to online takes approximately 30 seconds)

When the packet is Online, select the View button, go to Step 5.

Online archived packet data + Read more [8]

If the Status is Online the archive data may be viewed immediately.

A header containing information about the customer and when the data was extracted is displayed at the top of the page.

From the Request List screen, select the View button.

This goes to the Search Results screen, displaying the online packet.

Letters + Read more [9]

Select the:

  • check box next to the desired letter
  • Merge PDF button at the top or bottom of the screen

The retrieved letter can be viewed as a PDF.

Go to Step 6.

DOC's + Read more [10]

Select the:

  • check box next to the desired DOC
  • Get Selected button at the top or bottom of the screen to view the retrieved DOC

Go to Step 6.

Activities + Read more [11]

  • Select the check box next to the desired packet
    Note: make sure to be cleared out of the customers record
  • Once the activity has been selected, select the Send selected to ISIS button. If the transaction has been successful, this message will display:
    • 'Your Send To ISIS request has been submitted successfully. Please check the sent activities in ISIS after approximately 2 minutes.'

Note: the time given for an activity to appear on the History Activity List (HAL) screen in ISIS is an approximation. Please allow a reasonable timeframe before resending.

Once an activity has been sent to the HAL screen in ISIS, a trigger (ARA2AH) will be created and can be viewed on the Trans/Trigger List (TTL) screen in ISIS. An indicator of 'Y' will show in the Sent to ISIS column in ACE. This flag is not visible after 7-13 days from when the activity was sent back to the Centrelink system, because the activity is no longer sitting in the system. Resend the activity if needed.

Go to Step 6.

Printing the data + Read more [12]

If the Printer icon is used to print, the whole page is automatically printed. Archive records can be very large, therefore the following procedure should be used to enable printing of selected pages:

  • go to the File menu
  • select Print Preview
  • select the desired Print range and press Print

To get optimal results, particularly when viewing screens with many columns, set the browser view to Medium or Smaller:

  • go to the View menu
  • select Text Size
  • select Medium or Smaller
