This document outlines general information about the Medicare Compensation Recovery Program for staff. This includes how to send and resend correspondence, a list of terminology, manual and system letters and forms.

Locate the SLT + Read more ...

Go to the Compensation Recovery list on the Letters and Messaging sub-site.

Select the SLT to send the:

  • Compensation claim document enclosed letter (Z2451), or
  • We need more information to process a payment manual letter (Z2277)

The Resources page contains a list of manual and system generated letters.

Fill in and send the SLT + Read more ...

  • Complete the SLT, go to the Completing a Standard Letter Template (SLT) table
  • Save a copy of the completed letter to the relevant folder in the Compensation Recovery file folder on the shared network drive
  • Select the folder for the relevant year and month
  • Save the letter using the letter code and associated WIN. If no WIN exists, use the Medicare number or injured person’s name. For example Zxxxx_12345678X
  • Send to the recipient in an envelope appropriate to the number of pages being sent:
    • 1 - 7 pages: DL size EN270
    • 8+ pages: A4 size EN274

Note: do not send a copy of the letter to the Compensation Recovery inbox via email or MFD.

To resend correspondence:

When in an Enquiry case

  • Select Actions from the Case Summary panel on the left
  • Select Resend Correspondence from the Actions dropdown menu, the Resend Correspondence window appears
  • How many items does the Service Officer want to send?

Or

When outside an Enquiry case

  • Select Restricted Claim Actions from the left hand menu
  • Select Search Compensation at the top of the box
  • Enter the Work Item Number (WIN) under Claim details
  • Select Search, a Search results box appears
  • Select Actions
  • Select Resend Correspondence, the Resend Correspondence window appears
  • How many items does the Service Officer want to send?

Resend 1-3 MCRS correspondence items + Read more ...

  • Select a correspondence to be resent. Only one can be selected
  • Select a recipient for the correspondence. Only one can be selected
    Note: ensure that they are authorised to receive that information. For example, do not send copies of documents to an injured person/claimant’s solicitor unless there is a valid Third Party Authority (MO021) on file
  • Select Preview to confirm the cover letter is addressed to the correct person
  • Select Submit
  • Repeat above for 2nd and 3rd items. They will be sent out in 3 separate envelopes with 3 separate cover letters
  • Procedure ends here

Print 4 or more MCRS correspondence items + Read more ...

  • Select a correspondence hyperlink to view a letter to be resent. A new window opens and the letter displays
  • Print the correspondence
    • select the printer icon in the menu bar
    • select X in the top right corner to close the window
    • the Resend Correspondence window shows again
  • Repeat above until all correspondence to be resent has been printed locally

Collect, collate and send 4 or more MCRS correspondence items + Read more ...

  • Go to the Compensation Recovery list on the Letters and Messaging sub-site
  • Select the Z2451 Compensation Claim Document Enclosed letter, complete the required fields in the macro and print
  • Collect and collate prints
  • Send to the recipient in an envelope appropriate to the number of pages being sent:
    • 1-7 pages: DL size EN270
    • 8+ pages: A4 size EN274

Note: Service Officers must verify that all letters included in a batch of multiple correspondence, which are placed in the same envelope, are destined for a single recipient.

Locate and print CCMS correspondence + Read more ...

  • From the left hand menu, select Medicare Letters, then Compensation, then Compensation. A ‘Searching Medicare Letters’ box appears
  • Enter the WIN (including alpha), then Search. Search results display
  • Select correspondence to be sent
    • select boxes in the Queue column as required, multiple can be selected
    • select Download PDF of selected items. A file to download appears
    • select the Open file hyperlink. All correspondence items selected are in the PDF document
  • Print the PDF document, select the printer icon in the menu bar to print locally
  • Go to the Compensation Recovery list on the Letters and Messaging sub-site
    • select the Z2451 Compensation Claim Document Enclosed letter
    • complete required fields in the macro and print, go to Table 1 Step 2 for the process
