What happens to the ACT once the claim is finalised? The ACT retains the answers provided. The processing copy is uploaded to the student's record, except for Schooling A claims. These claims are uploaded to the applicant's record. The processing copy can be located via Document Tools in Customer First menu. A NCL activity will be indexed and the details recorded in a NCL progress DOC. The activity is then transferred (O) to the ABSTUDY Smart Centre teams for finalisation. |

Can there be more than one claim at a time? Yes - multiple claims can now be completed. Schooling A claims for more than one student can be recorded within the same ACT workflow. For all other ACT claims, the instructions in Table 4 must be completed before commencing another ACT claim. |

How do I re-print the Customer Declaration Form (CDF)? The CDF can be re-printed from the History Summary (HS) screen. To re-print and identify the CDF, use the letter code:

How do I access a Processing copy after the NCL has been cancelled? If the NCL activity has been cancelled, the processing copy can be accessed via Customer First - Document Tools menu. Staff can view the information recorded in the processing copy prior to re-indexing the NCL activity. |

Documents requested to support the claim before it can be assessed Customer Declaration Form (CDF) The applicant's acceptance of the verbal declaration will be recorded in a DOC on the student's record. Applicants who do not provide their acceptance to the verbal declaration must return a signed CDF. Study details The applicant must provide the student's study. Secondary student unable to provide school details A secondary boarding facility may conduct an interview or selection exercise prior to accepting a student. Therefore, at the time of claiming, confirmation of the student's school they will be attending may not be possible. The School Details is a mandatory field and must be completed. For these students in the School Details field, record the text 'To be advised'. This allows the ACT to be completed and the claim to be assessed. The school details must be advised as soon as possible. Parental income If parents/guardians cannot complete these questions or would prefer to provide their details separately, a MOD JY must be issued. The link to the MOD JY is above. Where a student does not meet the independent criteria, the parental income test must be applied regardless of receiving parental support or not. In these cases issue the MOD JY. Away from home See Away from Home rate for ABSTUDY for specific information or documentation required based on the student's circumstances. Unreasonable to live at home Students who identify as being unreasonable to live at home, may need to provide documentation to support their claim. See ABSTUDY unreasonable to live at home (UTLAH). Independence Students who state they will meet one of the Independence criteria, may be required to provide evidence before their claim can be assessed. See Independence for ABSTUDY customers. Identity confirmation For information when Identify Confirmation is required, see Additional procedures exclusive to ABSTUDY apply in some circumstances. Tax File Number (TFN) Students who are aged 16 or over and do not have, or do not know their TFN, must be given the appropriate form and complete it within 14 days of lodging their claim:
Proof of Enrolment (POE) Students may be required to provide POE. See Proof of enrolment (POE) in a course of study. Note: proof of acceptance is not required for boarding school students. Payment on Advice will determine if a student has been accepted or not. Even though a proof of acceptance letter is not required to prove a student has been accepted, the letter may be accepted when the student is providing information for their away from home rate assessment, such as information relating to their scholarship or enrolment in a special program. The progress DOC must be specific about the information required rather than just requesting proof of acceptance. Private Boarder details The applicant must provide details of the student's board provider using the ABSTUDY request for private board provider (person providing board) details (SY115). The private board provider and the applicant are required to complete, sign and return the form. Startup Year Course Students undertaking a Startup Year Course, must provide evidence they are enrolled in the course and have been selected for STARTUP-HELP. |
