This document outlines permanent residential care - corrections to resident status associated manual calculations and letters.

Review reasons for correcting resident status + Read more ...

Examples of when a care recipient's resident status may be corrected:

  • Care recipient entered care with fees set as means not disclosed (MND) and subsequently completed a means assessment with resident status determined to be low means
  • Care recipient's resident status was initially determined as low means. A new means assessment was completed for a new provider and the care recipient's status was determined to be not low means
  • Incorrect coding on record, for example:
    • Residential Care Asset Assessment (RCAA) screen has the date of entry incorrectly coded on a reassessment entry, which deletes any previous asset coding
    • initial RCAA coding incorrect, for example home details not recorded correctly

Review income and assets in Customer First record to confirm that the correction to resident status is correct.

From 16 November 2024, the Aged Care Staff Portal (ACSP) now manages the change in resident status removing the need for manual intervention. Care recipients impacted prior to this date, will need to be escalated to mySupport. See the Resources page for a link to mySupport.

Checking Aged Care Staff Portal (ACSP) for income and assets information + Read more ...

In ACSP:

  • Locate care recipient record
  • Go to Care recipient > Care recipient summary and confirm date(s) of entry into residential care
  • View Means testing > Means testing current summary to check current details
  • To confirm previous updates:
    • Check Means testing > Total assets field and locate the date of entry into care in the Date of effect column
    • Check Status of Inactive means that details have been corrected
    • Check Created on field will display when the update was made
    • Find the date of update that corrected resident status

There may be multiple updates that have changed a resident status. The relevant date is the most recent update that changed a resident status to low means.

In ACSP, check:

  • Means Testing > Means testing current summary
  • the details under Source to identify responsible department

Checking Customer First for income and assets coding + Read more ...

In Customer First, check for income and assets update to confirm that this was a correction from date of entry into care.

Suggested checks:

  • RCAA Assessment Determination (RCAD)
  • RCA Income Assessment Summary (RIAS)
  • Document List (DL)
  • Residential Care Asset Assessment (RCAA)
  • RCA Means Test Details (RMND)

Is this correction to resident status correct?

Remediate incorrect income and asset update + Read more ...

If care recipient's resident status should not have been corrected, code the correct income and assets information to fix the record.

Updates made should transfer into ACMPS and ACSP as soon as received.

If the ongoing fee is not correct after data is received in ACSP, complete ad hoc review. See Aged care reviews - ad hoc reviews.

Follow up after correct resident status restored + Read more ...

Complete the following actions:

  • In ACSP:
    • go to Care recipient > Care recipient notes
    • select Add Note
    • add notes to explain the actions that have been completed
  • If investigation:
    • from an open work item, update QR Fast Note with details of action
    • not from open work item, add a DOC to summarise action

Note: the Aged Care Payment System will issue new initial fee letters to the care recipient with the correct resident status and updated fees.

Care recipient is DVA responsibility + Read more ...

Refer to Means Tested Assessment history in ACMPS. Review income and assets coding. If more information is required to confirm the correct date of event for change to income and assets, see Aged care DVA - referral Process.

If DVA have remediated record and resident status has returned to the original category, complete the following actions:

  • In ACSP:
    • go to Care recipient > Care recipient notes
    • select Add Note
    • add notes to explain the actions that have been completed
  • If investigation:
    • from an open work item, update QR Fast Note with details of action
    • not from open work item, add a DOC to summarise action

Note: if a care recipient was originally low means and updates changed them to not low means they are now low means again. In this case, the Aged Care Payment System will issue new initial letters if care recipient was liable to pay any MTC.
