When a person contacts to advise the death of an applicant, the death must be confirmed.

Note: Service Officers must check the record of the applicant to make sure the death action has been completed.

If the death action has been completed on the applicant's record, the death action will create a Manual Follow-up (MFU) on the AIC student's record.

To cancel the AIC payment on the student's record:

  • select the DEA MFU with keyword PTRAPPDE from the Activity List (AL) screen
  • go to the Assessment Results (AR) screen
  • finalise the activity
  • the AIC payment should display as cancelled ADE - Death of applicant
  • record details on a DOC

Go to the payment summary (PS) screen and note the:

  • last released payment type
  • date the payment was released
  • payment entitlement period

Payment released before the applicant’s death + Read more ...

If an AIC payment was issued before the applicant's death, the new applicant can receive the remaining AIC assistance for that year. When the new applicant lodges an AIC claim, the entitlement starts the day after the released payment's period ends.

The previous applicant was entitled to receive the complete payment that was released before the death. The generated debt shell will need to be finalised as 'no debt':

  • Select the relevant Debt ID from the Activity List (AL) screen
  • Go to the Modify/Assess Debt (OPMA) screen and update the following fields:
    • Calculated Amount $: key '0.00'
    • FND Reason: key NDC (No debt calculated)
  • Press Continue
  • The Assessment Finalisation (OPAF) screen will display and update the following field:
    • Finished?: key 'Y'
  • Press Continue
  • Record details on a DOC

Go to Step 6.

Payment released after the applicant's death + Read more ...

If an AIC payment was issued after the applicant's death, the complete payment must be raised as a debt to allow the entitlement to be distributed to the new applicant.

To make sure full entitlement is paid to the new applicant, staff must manually cancel or reject the AIC from the first date in the entitlement period. This will allow the future AIC claim to be granted from this date and all arrears to be released to the new applicant. For a student who is a:

The surviving parent or guardian may qualify to receive the outstanding entitlements for the year. However, a new claim for AIC must be lodged and all eligibility requirements must be satisfied for payment to occur.
